How to Make Your Resume ATS-Friendly

Understand applicant tracking systems, readable formatting, and how to tailor a resume without keyword stuffing.

An applicant tracking system (ATS) helps an employer receive, store, search, and review applications. Different systems work differently, so no template can guarantee that every ATS will read every resume perfectly. But a straightforward, text-based document usually makes your information easier for software and recruiters to understand.

1. Choose a readable layout

Use recognizable section headings such as “Work Experience,” “Education,” and “Skills.” A single-column layout can reduce ambiguity in the order of information. Avoid putting essential qualifications inside decorative images or graphics. Keep contact details in ordinary document text.

2. Describe your work in plain language

Use familiar job titles and clear employer names. Describe the responsibilities and outcomes that matter to the role. An ATS may search for phrases that appear in the job description, but a human reviewer should also be able to understand your experience quickly.

Less useful: Responsible for many tasks in operations.
More useful: Coordinated software request approvals, tracked aging tickets, and maintained request status reports in ServiceNow.

3. Match relevant job language honestly

Read the posting and identify important qualifications you genuinely have. If the employer says “inventory reconciliation” and you've performed that work, consider using that term rather than an obscure internal acronym. Don't copy a job posting word for word or add skills you can't demonstrate.

4. Keep dates and names consistent

Use a predictable pattern for dates, such as “Jan 2024 – Present.” Spell out uncommon abbreviations at least once. If you have a portfolio or LinkedIn profile, use a clear, working URL.

5. Export and check the file

PDF is convenient for retaining layout, but always follow the employer's requested file type. Before uploading, open the document and verify the text can be selected or copied. Check that headings, bullet points, and page breaks appear correctly; a visually attractive design is not helpful if the details are missing.

6. Remember what ATS-friendly does not mean

There is no universal ATS score that guarantees an interview. Recruiter decisions also depend on experience, job fit, location, timing, and the applicant pool. Use a clean resume to remove formatting obstacles, not as a substitute for relevant accomplishments.

Our Classic resume template provides a basic single-column structure with selectable text. The Modern option adds subtle color; both should be reviewed after export for readability.
